Why Data and Technology Hub?

In the United States, what community you live in matters—to the jobs you can pursue, the education you receive, and the economic mobility you can achieve. Early learning matters. Measuring community impact matters. And access to data, technology, and AI matters if communities are to secure investment, scale what works, and shape their own futures.

At Data and Technology Hub, we bring data, technology, and AI to place-based organizations to advance education and workforce development—so that place does not determine possibility. As technology evolves at unprecedented speed, ensuring that communities and their leaders are equipped to not just participate, but lead and transform, has never mattered more.

As an early member of the Data and Technology Hub team, you will play a critical role in helping the organization operate smoothly, stay focused on what matters most, and build strong execution habits from day one.

Why this role matters

The Executive Assistant at Data and Technology Hub is a force multiplier for the CEO and the leadership team.  This team member is responsible for providing high-quality administrative, coordination, and operational support for the CEO and senior leaders.  This role combines executive support with operational and vendor management and is ideal for someone who enjoys stakeholder management, variety, takes pride in establishing strong systems, and thrives in a collaborative, mission-driven environment.

This role is responsible for:

  • Protecting executive focus and time

  • Establishing a clear, reliable rhythm of business

  • Ensuring dependable follow-through on commitments

  • Helping a fast moving, early-stage organization operate with discipline and clarity

This is not a passive or reactive role. We are looking for someone who anticipates needs, takes ownership, and brings calm, structure, and judgment to complexity. This individual will be a trusted partner to our leadership team and represent our brand and the place-based ecosystem with pride.

What you’ll do:

Executive support & rhythm of business

  • Manage the CEO’s calendar end-to-end, including prioritization, preparation, scheduling, and proactive conflict resolution.  Coordinate meetings and prepare clear and strategic meeting agendas in all calendar invitations.

  • Establish and maintain a strong rhythm of business and annual calendar for the CEO, including weekly leadership meetings, 1:1s, quarterly leadership planning sessions, bi-annual funder reviews, and monthly Advisory Council meetings

  • Ensure the CEO is consistently prepared for meetings with clear agendas, background materials, pre-reads, and expected actions from prior discussions.

  • Track action items and commitments coming out of meetings and ensure completed actions

  • Provide occasional support to two other senior leaders on an as-needed basis and as time allows balanced with priority responsibilities.

Operational support & coordination

  • Partner closely with the CEO to support day-to-day organizational operations.

  • Assist with preparation of leadership meeting materials, agendas, notes, and action logs.

  • Support coordination across the leadership team, helping information flow smoothly and efficiently.

  • Occasionally provide logistical, meeting room booking, catering, and onsite and/or remote logistics for staff, leadership team, and Advisory Council offsites.

  • Help to plan and manage team building activities, celebrations, and internal events.

Expense, travel, invoice, and administrative management

  • Manage the CEO’s expense reimbursement process, ensuring accuracy, timeliness, and compliance with policies.

  • Book and manage the CEO’s travel, event, conference, and industry association travel and logistics.

  • Process and track invoices, vendor payments, and reimbursements in partnership with the CEO and Finance Analyst.

  • Maintain organized records for expenses, invoices, contracts, and key administrative documents.

Communication & professionalism

  • Serve as a point of contact for internal and external stakeholders interacting with the CEO.

  • Handle sensitive and confidential information with discretion, judgment, and care.

  • Represent Data and Technology Hub with warmth, professionalism, and respect in all interactions.

  • Maintain and contribute to shared knowledge base and document management.

  • Maintain contact lists and distribution groups.

  • Post updates to the Data and Technology Hub intranet and other digital assets.

  • Contribute to special projects and desk research as needed.

Continuous improvement

  • Identify opportunities to improve administrative, scheduling, and communication processes.

  • Leverage tools and AI-enabled workflows (e.g., scheduling tools, meeting notes, task tracking) to reduce friction and manual work.

  • Help establish repeatable, scalable support systems as the organization grows.

Success in the first 6 months

  • The CEO’s calendar and workload are well-structured, prioritized, and sustainable.  All requests to meet with the CEO are answered promptly and balanced for priority.

  • Leadership meetings run smoothly, with clear agendas, preparation, and follow-through.

  • Expenses and invoices are processed accurately and on time, with minimal rework.

  • The CEO experience a noticeable reduction in administrative and coordination burden.

  • You are seen as a trusted, proactive partner who helps the organization operate better.

What you’ll bring:

  • 5+ years of experience supporting senior executives, preferably in fast moving, mission-driven, or startup environments.

  • Strong attention to detail, organizational, and time-management skills and the ability to manage multiple competing priorities.

  • Strong judgment and discretion when handling confidential information.

  • Clear, professional written and verbal communication skills.

  • Comfort working in a remote-first environment with distributed teams.  Able to align schedule to the CEO’s Eastern Standard Time zone.

  • Experience in or commitment to learning AI tools to work more efficiently.

  • Calm, grounded presence; ability to bring order without bureaucracy.

  • Professional and emotional maturity, proactiveness, and motivation to learn and grow in a fast-moving environment

Compensation:

  • Up to 40 hours per week competitive salary, commensurate with experience.

  • Opportunity to potentially transition into a regular full-time role after 6-month

How to apply:

  • Include a resume and a cover letter describing your experience supporting senior leaders, why you will enjoy this kind of role, and what makes you an exceptional Executive Assistant

About Data and Technology Hub

Data and Technology Hub is an early-stage data, AI, and technology social impact venture funded by The Ballmer Group to lead a national strategy on arming place-based technology leaders with the repeatable tools, community, and capacity needed for them to significantly expand their community impact and success. The initiative operates a fiscally sponsored project of TechSoup Global.

Founded in Cambridge, MA in October 2025, Data and Technology Hub’s vision is that “All communities in the U.S. have the technology tools to measurably advance economic mobility” and it’s daily mission is to “empower place-based partnerships to apply exemplary data practices and cutting-edge technology to solve local challenges.”

About Ballmer Group Philanthropy:

Ballmer Group is committed to improving economic mobility for children and families in the United States, funding leaders and organizations that have demonstrated the ability to reshape opportunity. We focus on multiple impact areas and systems that can impact economic mobility, such as early learning, K-12 education, college and career pathways, housing, behavioral health, and criminal justice. Ballmer Group is both a national and regional funder—we have a presence and invest deeply in Southeast Michigan, Washington State, and Los Angeles County. Ballmer Group was co-founded in 2015 by philanthropist Connie Ballmer and her husband Steve Ballmer, former CEO of Microsoft, founder of USAFacts, and chairman of the Los Angeles Clippers. In the US, where you live has a significant impact on your opportunities for upward economic mobility and overall life outcomes. The Ballmer Group believes that improving economic mobility outcomes for populations at scale will take more than high quality programs. Spurred by these beliefs, The Ballmer Group has made significant investments in what have become known as “place-based partnerships” (“PBPs”).  PBPs are characterized by:

  • Partners from government, nonprofit organizations, philanthropies, businesses, and the civic sectors working together consistently and long-term in a specific geography

  • These partners agree on a core set of measurable outcomes and set goals for improvement overall and by race to address pervasive disparities

  • A local organization called an “intermediary” or “backbone” is endorsed or established to uniquely support partners to work collectively on shared goals and avoid acting in silos

  • Partners consistently use local data to identify what services, programs, and policies actually work and to continuously improve, engaging those most impacted to help interpret the data and adapt interventions

Philanthropy and public agencies actively invest new and existing dollars to sustain and scale what works.
